When is each driver’s annual MVR due?

The annual motor vehicle record pull runs twelve months from the last one for that driver. Enter your list and get every date at once.

Not the same as Clearinghouse

The annual MVR comes from the state driving record. The Clearinghouse query is a separate federal check for CDL holders. Pulling one does not satisfy the other.

Per driver, not per fleet

The annual MVR clock starts from each driver's own last pull. A fleet that pulls everyone's MVR every January is already late for anyone hired in March.

Who needs one

Every driver in your qualification file, CDL or not. Non-CDL commercial drivers still need the file; they just skip CDL-specific items like Clearinghouse.

How often must a motor carrier pull an MVR?

At least once every twelve months for each driver you employ, measured from the date of the last pull for that driver — not from a single fleet-wide date.

Is an annual MVR the same as a Clearinghouse query?

No. The annual MVR comes from the state motor vehicle record. The Clearinghouse query is a separate federal database check for CDL and CLP holders under 382.701. You need both where they apply.

Do non-CDL drivers need an annual MVR?

Yes. Any driver of a commercial motor vehicle needs a qualification file, and the annual MVR is part of that file whether or not the driver holds a CDL.

How long must I keep annual MVRs?

Three years from the date on the document, under the general driver qualification file retention rules.
