Small carriers don't fail audits because they don't care. They fail because a medical card expired in March, and the person who knew that was on holiday the week an investigator called.

Every driver qualification file has thirteen required pieces. Three of them run on a clock — the medical examiner's certificate, the commercial licence, and the annual review of the driving record. Multiply that across ten drivers, add Clearinghouse queries, vehicle inspections and your MCS-150 deadline, and you have a job nobody has time for and everybody is assumed to have done.

The consequences aren't small. A missing medical certificate runs $1,000 to $5,000 per driver. A missed Clearinghouse query carries a $6,386 penalty. Miss your MCS-150 and your USDOT number is deactivated within days.

Your driver files contain medical certificates and drug and alcohol testing records. That is some of the most sensitive information a small business holds, and it belongs to people who never chose us — they work for you.

So the rules we hold ourselves to are simple. We never sell data. We never use it to train machine learning models. We never ask for Social Security numbers. Your data is stored in the United States, isolated at the database level so no other customer can reach it, and changes to compliance records and dates are recorded in an append-only audit trail you can inspect.

Our Privacy Policy sets out exactly what we do with it, and the Data Processing Agreement in our Terms makes it contractually binding.

We are a small, independent company. We do not hold SOC 2, ISO 27001 or equivalent certification, and we don't pretend otherwise. What we do have is written in our Privacy Policy and our DPA, in plain terms, and we would rather be checked than believed.
